Stores Manager - Duties and Responsibilities

Accountability:
The Stores Manager is responsible to the Chief Engineer for effectively and efficiently carrying out the following and responsibilities.

The Stores Manager is responsible for
- The controlling of day to day stores activity, including data entry and recording of stock movements in the AMS software
- Ensuring that the stores areas are well defined and indicated by applicable signs into-inwards goods , Bonded store , Unserviceable areas , Commercial Goods ,DG storage and lockable Quarantine area and that parts are placed in the correct locations.
- That specific Tool storage areas are designated and that tools requiring calibration are correctly labelled , are tracked and monitored via AMS and that PO are raised and tools dispatched when due for calibration checks .(This needs to be coordinated with supervisors and scheduled checks)
For the correct introduction and tracking of new tools into the systems
- That secure provisions is made for lubrication and greases etc.
- That items that have a shelf life requirement are labelled and tracked and monitored via AMS , and when the items expired are removed from stock
- To establish a regular stock taking procedure to ensure all stock is accounted for over a one year period.
- The control and administration of the Store Department its functions and personnel
- Complying with the requirements of stores and handling in accordance with this MOE and related documents
- Ensuring all Inwards parts/components and subject to stores inspection by company approved stores inspectors , to ensure they are as per the purchase order and have approved documentation
- Filing and indexing all paperwork received with incoming components, parts and materials to provide correct traceability.
- Ensuring that items under investigation or with unknown origin or history or has failed the receipt inspection is placed in Quarantine.
- Advising the QSM if suspect bogus parts are detected of if issues with suppliers
- Ensuring stock is securely and protectively stored against damage, rain, deterioration and contamination and that the stores areas are environmentally controlled.
- Ensure a high standard of accuracy and timeliness is maintained during the data entry/recording into AMS.
- Ensuring the condition of all stores areas are maintained to a high standard of cleanliness and tidiness, by daily inspections.
- Advising the Supervisors or maintenance Watch promptly of the receipt of spares ordered for specific aircraft.
- Administration and follow up of Warranty claims on U/S components due to warranty.
- Ensuring all anomalies are promptly brought to the attention of the Chief Engineer.
- Ensuring all dispatched items are carefully packed and accompanied by all necessary documentation, and that a shipping checklist is used.
- Raising Purchase Orders for the purchase of aircraft spares and tooling only from approved vendors /suppliers.
- Liaison with aircraft spares suppliers and recommending additional suppliers be approved when necessary.
- Monitoring the stock levels and stock usage and advising the Chief Engineer when minimum stock level need to be set or increased.
- Maintaining close and cordial relations with Vanuatu Customs Officers, promoting prompt receipt and actioning of documentation approvals.
- Full participation during quality audits
- Monitoring matters relating to security i.e. storage areas , fire protection , locking of doors , secure storage of documents
- Participating as a member of the Management Review Committee.
- Other duties as directed by the Chief Engineer
Qualifications & Experience Requirements
- Has completed a high school or Tertiary education
- Must have a minimum of one (1) years ‘ experience within an aviation environment
- This experience may be waived if the person holds a basic Maintenance Engineers License.
Training:
- Must have completed the initial induction training on the Stores sections of his MOE
- Must have completed a recognised course in Receipt inspection
